Secretary’s Report July 6, 2011
Meeting began at 4 pm.
Members present include: Ruth Ferris, Corrie Douglas, Janelle Wilson, and Elizabeth Fellerer.
Treasurer’s Report was verbally presented with printed treasurer’s report coming presently. The account was charged twice at La Quinta Inn in Helena for the Leadership Conference. Corrie Douglas will write a check to MERC to reimburse the mistake. The check for the Weebly webpage account went through our account. Also, a deposit was made on July 6, 2011 in the amount of $105.00 for the sale of MERC vests at $5.00 each during Leadership Conference.
We looked at dates to schedule the Young Author’s Conference and decided that March would be best. We will let teachers know so they can have their students participate.
We selected a list of 24 businesses in the local Billings area and compiled a list of their addresses, to request Corporate Sponsorship from them. Janelle stated she could print out the letters.
Motion carried to approve spending of a maximum of $25.00 on stamps, envelopes, and labels to send out our sponsor letter requests.
We designed a proposal for the Young Author’s Writing Program to submit to the Donors.org. Ruth spoke to Michael Long, a Horace Mann agent about becoming a corporate sponsor. Mr. Long suggested that we submit a proposal through Donors.org and then contact him. This is how their corporation does all donation work. The proposal includes monies needed to rent a room as well as awards for the young authors.
Corrie spent $102.14 through www.toyconnection.com for Saturday Live prizes. Prizes purchased include: stickers, bouncy balls, temporary tattoos, tootsie rolls, silly bands, finger puppets, mini yoyos, and puzzle watches.
Corrie and Janelle agreed to meet Thursday, July 7th from 2 – 4 to stuff and mail sponsor letter envelopes.
Janelle emailed her connection at the PTA to look into using the mystery door game for Saturday Live.
We scheduled a meeting for July 13th from 2 – 3 to contact businesses who were sent letters for corporate sponsorship. We will meet in the library on the second floor. We also dedicated July 18th to go door to door to followup on sponsorship requests.
Liz proposed that one of the “Book It” meetings for next year be held on the West end at the COT. Both library boards need to approve before future plans are made. MERC approved that we are okay with the change.
